RECORDS AND POLICY INFORMATION

Parent/Guardian Orientation

Parent/Guardian orientation is scheduled at the beginning of each school year. This important evening of orientation is for parents/guardians and not an evening for the children. This orientation will inform the parents/guardians of class goals, learning expectations, parent’s/guardian’s responsibility as to signing homework folders, conferences, calling in when absent, pick-up, etc. All parents/guardians are required to attend this orientation.

Admission/Re-Admission Policies

Christ Church Christian School (CCCS) does not have the facilities for the personnel to effectively work with extreme emotional or behavioral difficulties or with students with acute academic deficiencies. Students will be expected to demonstrate a genuine interest in pursuing their education in harmony with the standards and purposes of CCCS. These requirements are not intended to present a hardship to anyone who is a potentially acceptable student, but rather they are set forth to help select the type of students who can best be served by the program offered. By choice, the applicant and parent/guardian obligate themselves to the ideals of CCCS. Acceptance shows the school’s faith in the student. Enrollment is granted on a year-by-year basis.

To be considered for enrollment or re-enrollment to CCCS the prospective student must meet the following requirements:

1. Must exhibit appropriate developmental maturity
2. Must be able to communicate orally and receive oral communication
3. Must be free from all communicable diseases as identified by the Wisconsin Department of Education and have a current record of immunizations
4. Must be able to take care of personal bodily needs
5. Must exhibit age-appropriate social skills
6. Must demonstrate a willingness and the ability to adhere to school and class rules
7. Must demonstrate respect for authority
8. Must have a level of emotional stability that enables the student to learn and does not distract other students from learning
9. Must be able to demonstrate the academic ability and willingness to work at the grade level assigned
10. Must meet the minimum age requirement as established by the Ministry Team; entering kindergarten and first grade must be five and six years old respectively on or before September 1
11. Must not be recently under the suspension or dismissal from his/her former/current school
12. Must not need accommodations that limit other students from receiving adequate time and attention

In summary, the student will not conduct himself/herself in a manner that will prevent the teacher from being able to teach or prevent the other students from being able to learn. Continued enrollment will require a student to continue to meet the above criteria. The Ministry Team must approve any variance from the above listed requirements. 4/29/07

Transfers

Students transferring from CCCS to another school must give the school at least a two week notice so records and grades can be prepared. The student’s grades and records will be transferred to the new school when all accounts have been settled with the school bookkeeper.

Access to Children’s Records

Only the parent/guardian of a child will have access to his/her child’s records. Records of a child will be made available to the parent/guardian only on the premises and with the Senior Pastor, senior pastor designee, or teacher present. Confidentiality is to be honored by both parties. These records will be made available to state licensing and health authorities. Policy Information The parent/guardian of a child enrolled in Christ Church Christian School will be provided with a copy of the Student/Parent Handbook and will be expected to read, become familiar with, and abide by this document. The parent/guardian will be asked to sign a form accordingly. Extra copies will be made available for parents/guardians who might have misplaced their copies as well as persons inquiring about enrollment in Christ Church Christian School. The School retains the right to change these policies at anytime before or during the school year.

Change of Address

Inform the office immediately if you change your address, email, or any telephone number.

Tuition and Fees reflect amounts for the current school year. CCCS reserves the right to change tuition/fees prior to subsequent years.

Fee Determination

There will be no remission of fees for illness, vacations, or other events affecting attendance. CCCS assumes, relative to tuition and fee charges, that all the children enrolled will be in attendance. Therefore, the parent/guardian will be responsible for the customary charges agreed upon at the time of the agreement.

In the event of withdrawal, transfer, or expulsion, the parents/guardians are responsible for payment of tuition and other fees through the 10th of the following month. The school reserves the right to withhold report cards and student records until tuition and other fees have been paid in full.

By signing the Parent/Guardian-Student Handbook, the initial application for enrollment, and/or an application for re-enrollment, the parent/guardian is authorizing the school to withhold report cards and other records until tuition and other fees have been paid in full.

A Field Trip Permission Form is required to be completed and returned.

Schedule of Classroom Activities

This schedule will be posted outside the classroom for the staff and parents’ benefit.

GRADING

Academic Report Cards

Report cards are sent home four times during the school year (quarterly). The exception is the first quarter when a report will be handed out and discussed during a parent/teacher conference. The report cards should be reviewed by the parents/guardians and then discussed with the student at home. These reports are to be signed by the parent/guardian and returned to the teacher within two school days. All tuition and fees must be up to date in order for the parent/guardian to receive an academic report card.

Parent-Teacher Conferences

In addition to the required first quarter parent-teacher conference, additional conferences may be initiated by either the teacher or the parent/guardian at any time to discuss the student’s progress. Please call 262-632-1607 to schedule an appointment.

Standardized Tests

Testing will take place annually. Parents/guardians are provided copies of their child’s test results.

Promotion Policy

Each student is expected to attend the designated number of school days (see Attendance/Absence Policy pages 9-10) to be eligible for promotion. Students who have mastered the required skills/concepts at their grade level will be promoted to the next grade level.

Retention Policy

If there is a possibility that a student will be retained, the parent/guardian will be notified as soon as it becomes evident retention is likely. The teacher will work with the family to assist in arranging supplementary instruction. With good parent/guardian-teacher communication there should be no instance of parent/guardian being unaware of the student’s lack of progress.

Parents Questions, Suggestions, and/or Concerns All questions, concerns, or insights about a student or a program are best addressed to the particular teacher or school representative involved. The administrators should be contacted if satisfactory answers, responses, or solutions are not achieved through these means. As a general rule, the administrators will not discuss concerns or questions unless this procedure has been followed.

DAILY OPERATIONS

Arrival Procedure Students arriving prior to 7:40 a.m. should report to morning extended care. Morning extended care opens each day at 6:00 a.m. Extended care fees will apply. Students are expected to report to their classroom between 7:40 a.m. and 7:55 a.m. The teacher will begin class at 8:00 a.m. sharp. School bus arrivals will have a designated entrance location. Parents/guardians choosing to bring their children should park their cars in a parking space and bring their children to the designated classroom and sign the students in at the classroom register. A teacher will be there to meet them.

Dismissal Procedure

Students are dismissed at 3 p.m. Children staying in extended care will be escorted to Christ Church Child Center. Parents/guardians should park their cars in a parking space and pick up their children at the designated school classroom. A teacher or staff member will be inside the door to release them to their parents/guardians or other authorized persons. The parent/guardian must sign the child out on the Sign In/Sign Out sheet and give the correct password. The teacher or staff member will not allow any child to leave the building alone or to leave with someone other than a person authorized in the Emergency Medical Consent Form (this form designates persons authorized to pick up the child). Your child will not be allowed to leave with another child without prior authorization from you. The school will not be responsible for any activity relative to the child beyond the time when the student is picked up. If a child is not picked up by 3:15 p.m., the child will be taken to extended care in the Child Care Center and a fee will be charged. The fee for failing to pick up a child within the designated time frame is $1.00 per minute. If the child is not picked up from the Child Care Center by 5:00 p.m., the police department may be called. This deadline does not apply to children whose parents/guardians have already made prior arrangements with the Child Care Center.

Parent/Guardian Pick-Up Change

If you know in advance that you will not be picking up your child, you need to send a note to the classroom teacher stating who will pick up your child. In last minute cases in which you will not be able to pick up your child, you must call the school office before 2:00 p.m. with the name of the person from the authorized list who will be picking up your child. It is the responsibility of the parent/guardian to provide the teacher the correct password when picking up the child. Should one of the authorized persons be picking up the child, it is the responsibility of the parent/guardian to make sure that this person has the correct password. The staff is not authorized to release a child to anyone without the password. The school will not be responsible for any activity relative to the child beyond the time when the student is picked up.

Early Dismissal

Any student who needs to be dismissed from school before the end of the day must have a parent or guardian sign him/her out in the office. The student can only be released to individuals whose names are recorded on their Emergency Medical Consent Form. The student must bring a note to the teacher from the parent/guardian stating the reason and time for dismissal. There will be no exceptions to this policy.

Attendance/Absences

Attendance will be taken at the beginning of each school day. A student who misses more than half of the school day will be considered absent for the entire day. If your child is going to be absent, the school must be contacted by 8:00 a.m. of the current school day. If your child is absent because of illness for five (5) days or more, a doctor’s permit to return to school is required. No financial credit 4/29/07 will be given for any absence. If the child is not in attendance and the school has not been contacted regarding the absence, the parent/guardian will be contacted to ascertain the status of the child. Absences in excess of 20 days may result in a student’s retention in that grade the following year.

Tardiness

Students who do not report to class by 7:55 a.m. sharp will be considered tardy. Students arriving after 7:55 a.m. must report to the school office to sign in before being admitted to their classroom.

1. Two tardy arrivals will count as one unexcused absence.

2. Three tardy arrivals in a quarter will require a special conference with the teacher.

3. Five tardy arrivals in a quarter could result in the student’s dismissal.

Weather/Emergency Cancellation

In the event of inclement weather, parents/guardians should listen for instructions on local radio and television stations (radio-WRJN 1400 AM, WTMJ 620 AM/television-Channel 12 or 4) for closing information. The station announces school closings by 6:30 a.m. or earlier. If Racine Unified Public Schools are closed for a snow/cold day then Christ Church Christian School will be closed. No financial credit will be given for closed snow/cold days.

Emergency Drills

There will be unannounced safety drills during the school year. When an emergency drill occurs, the students should respond quickly and quietly with their teacher.

Lunch

Parents are to provide a sack lunch for each student. Staff will encourage children to eat the healthier food in their lunch first. Children will not be forced to eat nor will they be disciplined for not eating. Grace will be said and good table manners will be promoted.

Chapel

Chapel will be conducted each week in the Chapel. Students will participate in a variety of scripture readings, songs, prayer, and a brief Bible lesson. Lessons taught in Chapel will be reinforced in the classroom during the week. Chapel services may involve speakers from the congregation, parents, and other friends of the school. Parents/guardians are welcome and encouraged to attend.

Parent/Teacher Communication

It is the goal of Christ Church Christian School to stay in close communication with the parents of the students. Notes sent to school with a child will be handled promptly by the teacher. If you would like to talk on the phone with a teacher, please leave a message with the secretary and the teacher will call you at a convenient time.

Visitors

Although all parents/guardians are most welcome in the classroom, we ask that everyone make arrangements with the teacher well in advance of the visit. This will eliminate any potential distractions during class time. Some days and some lessons do not lend themselves well to visitors. Parents/guardians should not interrupt the class to relay messages without prior permission from the school office.

Volunteers

Parents are encouraged to volunteer their time in one of the many areas available. The classroom teacher will provide a list of areas where assistance may be needed. All volunteers during the school day must sign in at the office before beginning their service.

HEALTH AND SAFETY ISSUES

Health and Cleanliness

At Christ Church Christian School we expect the students to arrive each day clean and healthy for the well being of everyone. If this is not done on a daily basis, the parents/guardians will be notified and a conference will be set up with the teacher. Should these incidences continue after the conference, more severe disciplinary measures may apply.

Sickness

If a child is sick, he/she should not be brought to Christ Church Christian School that day. This would include but is not limited to a child with a temperature of 100 degrees or higher, vomiting or diarrhea. A student must be free of these symptoms by the time they return to school.

If a child gets sick during the day, he/she will immediately be isolated in the office, and a parent/guardian will be contacted. The child should then be picked up from CCCS within one hour of this call. The child may need to say home an additional day.

MEDICAL AND DENTAL APPOINTMENTS SHOULD BE SCHEDULED AFTER SCHOOL HOURS WHEN POSSIBLE.

Health Records

Health records will be initiated during the enrollment process at CCCS.

These records must be completed:

• Emergency Card

• Immunization Record

• Student Health Record

Medications

If a student is in need of medication during the school day, the parent/guardian must take the medication in the original container to the office with specific instructions on its administration. Staff may give prescription medications, nonprescription medications, and herbal preparations to students only with the Authorization to Administer Medications form filled out and signed by the child’s parent/guardian and attending physician. No medications may be kept on the student’s person or in his/her school bag. Medication will be stored so it is not accessible to the children. Medication requiring refrigeration will be kept in a refrigerator in a separate, covered container clearly labeled “medication” with the child’s name on it. A log of all medications will be kept. THE STAFF WILL NOT ADMINISTER ANY MEDICATION WITHOUT APPROPRIATE WRITTEN PERMISSION FROM THE PARENTS/GUARDIANS, AND A PHYSICIAN’S ORDER.

Injuries

If a child is injured during the school day, the parent/guardian will be called immediately. The school will take steps that seem reasonable to care for the injury. A log of all injuries will be kept.

Absences Due to Illness

No monetary credit will be given for absences.

Prohibited Articles

Prohibited articles include, but are not limited to, weapons (real or toy knives, guns, explosives), matches, tobacco products, alcohol, and narcotics. These are not allowed on the property. If a prohibited article is discovered, the child may be suspended or expelled.

Well-Being

Any student, by word or deed, threatening the safety or well being of another student, staff member, or the school at large, will be subject to disciplinary action. Disciplinary action may include, but is not limited to suspension or dismissal.

Food Allergies

If a child is allergic to certain foods, it is the parent’s/guardian’s responsibility to notify the school at the time of enrollment utilizing the appropriate medical form. This information will be posted in the classroom.

Playground Rules

During the school year, students will be going outside for recess and Physical Education whenever possible. Students are expected to dress appropriately. If a student cannot participate because of illness, he/she must have a note from the parent.

Legal Reporting Obligation of a School

In accordance with state law and school policy, school staff is obligated under penalty of a fine and jail term to report the reasonable suspicion of physical abuse, sexual abuse, or child neglect. In this very serious and legally narrow area, the school will not contact parents/guardians in advance of making a report to authorities, which would be the procedure followed in most legal matters. The clear intent of the law, based on the seriousness of the crimes, is to mandate that a report of reasonable suspicion of abuse be made. School staff will make such reports in the best interest of the affected child; and not, once reasonable suspicion is established, have any legal alternative except to make the report to the proper authorities for their investigation and review.

General School Conduct

CCCS strives to set a standard of conduct that will provide a healthy academic environment, and teach the child to live a moral, godly, life. CCCS will aim to develop the following characteristics in its students:

• Cooperation with others within and without the classroom.

• Cheerful obedience to all in authority.

• Responsibility in doing assigned or expected tasks.

• Courtesy and respect for others, such as, being quiet in class, raising hand to speak, not interrupting others, walking, not running in the building, and eating with proper manners.

• Cleanliness in person and property—cleanliness in dress, neat desk, keeping room clean, etc.

• Truthfulness and honesty in work and life.

• Respect for classmates and their property.

• Promptness in attendance and completing assignments.

• Morally good conduct in respect to recreation, social relationships, and language. (Students will refrain from swearing, using faulty language, use of any type of tobacco, drinking alcoholic beverages, sexual activity, pornography, and abuse of drugs.)

Code of Conduct

The basic concept of Christian education at CCCS includes a sincere interest in the total life of each student as an individual person. CCCS is concerned about the academic, spiritual, social, emotional, and physical growth of each student. Behavior which defies Christian principles or interferes with the learning of others or the student himself will warrant disciplinary action. Self-discipline is recognized as a sign of maturity and responsibility. School policies and procedures serve as preventive discipline by establishing an orderly school setting. When corrective measures are needed, the guidelines stated below will be used. It should be understood that these are guidelines only, and the administration will have the authority to alter punishment for misbehavior as deemed necessary.

Verbal correction, student/parent conferences, corrective assignments, and other basic classroom management procedures will be handled by the teachers for lesser disciplinary offenses. Greater disciplinary offenses or chronic repetition of minor offenses will result in students being sent to the office with a disciplinary referral form. If a student is sent to the office, parents/guardians will be mailed a copy of the referral form.

SECTION A

Violations (including but not limited to)
   Dress Code
   Running in the halls
Littering Chewing gum or eating in class
   Excessive talking
Improper behavior in class or assembly
   Overly aggressive at recess
Children chewing gum on school premises
   Eating in class

Consequences

The teacher will generally administer corrective discipline on first or minor offenses. Repeated offenses may result in being sent to the office. Suspension or dismissal could occur.

SECTION B

Violations (including but not limited to)
   Disrespect during chapel time
Disrespect for teachers or other adults
   Fighting
   Profanity
   Cheating
   Vandalism
   Possession or use of tobacco
Improper conduct with the opposite sex
Destruction of or damage to property of others (including school property)

Consequences

These more serious offenses will be proportional to the nature of the offense. Teachers may handle minor degrees of these offenses; however, they generally present blatant disregard for school policy and as such will usually result in being sent to the office. A series of discipline reports for these offenses will lead to fines, suspension or dismissal.

SECTION C

Violations (including but not limited to)

   Illegal drugs
   Alcoholic beverages
   Truancy
   Theft
Possession of dangerous weapons (guns, knives, etc.)

Music Policy

Christ Church Christian School believes that music is a means of communication, and that our students should be selective in the kind of music they enjoy and in the kind in which they participate. In order to maintain this standard, it is necessary for the school to require that music which tends to appeal to suggestive or inappropriate behavior be omitted from all activities which are under the supervision of the school. The school must maintain the right to supervise the kind of music heard or performed at school and at school functions.

Electronic Devices

Radios, ipods, MP3 Players, Cell Phones, tape records, pagers, walkmans, CD players, electronic devices or electronic games are not allowed in the school building, or on school-sponsored trips or activities. If a student is discovered to have an electronic device, the device will be secured in the office until claimed by a parent/guardian. Cell phones are allowed, but must be turned off in the building at all times. Students may use the cell phone outside of the building. Students found using the cell phone in the building, or text messaging in the building, will lose the privilege of bringing the cell phone to school.

Parties

There are four traditional class parties in a school year. They are the following:

   Autumn party
   Christmas party
   Valentine’s Day party
   Easter celebration

No birthday parties may be held, although parents/guardians may send cupcakes or cookies. Invitations to parties may be distributed at the teacher’s discretion.

DISCIPLINE, GRIEVANCES, AND APPEALS

Termination of Enrollment

The CCCS is committed to providing the best education possible. In order to do so, it may be necessary to discharge a child during the school year. Some of the reasons for this action may include, but are not limited to:
• Behavioral problems of the child that jeopardizes the health and safety of other children. • Physical problems of the child that prevent the CCCS staff from meeting the child’s needs. • Failure of the parent/guardian to fill out and return required papers within the allowed time.
• Failure of parent/guardian to pay fees in a timely fashion.
• Failure to have ongoing positive communication with the child’s teacher and staff of CCCS. This will help to provide the best education for the child.
• Non-observance of CCCS’ policies.
• Parent/guardian conduct on the premises not acceptable by CCCS. The well being of all the children enrolled cannot be compromised by the continued unacceptable behavior of a child. To avoid unacceptable behavior, the staff of CCCS will model good behavior and will maintain consistent rules. It is the hope of the staff of CCCS that all children can behave appropriately. If a child does not behave, the inappropriate behavior(s) cannot be tolerated indefinitely. It is the expectation that, through conversations with the child showing unacceptable behavior(s) and through conferences with the parents/guardians, the matter can be brought to a resolution within no more than two weeks. If it is not, CCCS can terminate the enrollment of the child. Disciplinary Action When a child continues to behave in an unacceptable way, the following steps will be taken before he/she is asked to leave: • The CCCS will keep, on file, a record of the unacceptable behavior.
• The teacher will talk about the unacceptable behavior with the child.
• If the unacceptable behavior continues, the parent/guardian will be told about the behavior.
• A conference including the teacher, and the parent(s)/guardian(s) will take place to try to find a resolution to the problem.
• Probation of a student gives the staff time to consider carefully the needs of the students, and gives the student time to prove himself.
• Suspension for one or two days if necessary to bring the child to repentance and corrected behavior.
• Expulsion of a student will be considered if the staff of CCCS can no longer effect positive conduct change.
• When a child is discharged, the parent/guardian can appeal the decision.

The appeal must be submitted in writing to CCCS Ministry Team and Senior Pastor of Christ Church.
Grievance Procedures Parental grievances must be directed through the proper channels:
• All grievances will be handled in accordance with the principles outlined in chapters five and eighteen of the gospel of Matthew.
• All persons are to deal with the situation at its source. This usually means initially speaking privately with the particular teacher or appropriate school staff member in a constructive and supportive attempt to get clarification or resolution. If, after honest attempts have been made and clarification or resolution has not satisfactorily been reached, then the grievance procedures of the Staff/Parish Ministry Team will apply.

BEFORE & AFTER SCHOOL CARE

Before and After Care services are offered for working parents that need additional care for their children prior to 7:40 a.m. and after 3:00 p.m. The Christ Church Child Care Center opens at 6:30 a.m. and closes at 5:30 p.m. This service is provided for an additional cost of $4.00 per hour. Financial arrangements would be made separately with the Child Care Center. Students may be enrolled for extended care by contacting the Christ Church Child Care Center at 262-632-6152, or contacting the Director of the Center at the facilities here on the premises.

HOW YOU CAN HELP

• Let the teacher know any situation that might affect your child’s behavior or performance in class (upset stomach, bladder problems, etc.).
• Mark your child’s name on all personal belongings, such as coats, sweaters, gloves, caps, and books.
• If you wish to talk to your child’s teacher, please arrange for a private conference by calling the school office. Do not meet the teacher before or after school or detain him/her for his/her responsibilities.
• Please dress your child warmly in cold weather. We will go out for recess as weather permits.
• Check your child’s book bag every day for papers or notes that may have been sent home to you.
• If you have any questions or problems, please arrange to meet with our staff to discuss the issue with us.
